What is communication?
'Communication is the process of exchanging information and confirming there is a shared understanding.'

Identify and analyse your stakeholders to establish the target audience and content for project communications

Provide a system for message delivery so tat your stakeholders receive the right communications at the right time throughout the project.

Provide a system of monitoring and feedback to make sure that stakeholders understand your messages, and to asses the effectiveness if your communication process

What are the types of communication?
Oral face to face, Oral not face to face, written, visual, electronic

Communication methods: Interactive
You engage in a multi-directional exchange of information with the other party or parties - generally the most efficient way to come to a common agreement

Communication methods: Push
You send information to chosen parties when and however you want to

Communication methods: Pull
Receivers can access the information at their own convenience, useful if you have a large audience or very large quantities of information

Communication blockers: False perceptions on the receiver's part caused by a lack of background knowledge, expertise, different world view etc.

How to overcome it?
Make sure that information is objective, simple, direct and free from overly technical language or jargon

Communication blockers: Remote working where staff are dispersed over different locations and/or time zones?

How to overcome it?
Make sure that communication technology is accessible and useable. Continue to build in opportunity for two-way communication and feedback

Communication blockers: Lack of understanding of the culture and languages used within a team and the wider stakeholder community (values, norms, working practices, technical background)

How to overcome it?
Recognise that different cultural preferences and ways of working exist. Show respect for these differences, and look for ways to accommodate them.

Communication blockers: Physical and psychological distractions

How to overcome it?
Make sure that the physical environment is appropriate e.g. don't conduct sensitive communications in a public space. Empathise with people's emotional state.

Communication blockers: Selective listening - some stakeholders consciously or subconsciously distort a communication's true meaning by being selective on what information they retain

How to overcome it?
Repeat messages to clarify mutual understanding and, in extreme situations, document discussions and agreements for future reference

What should a communication plan include?
What info you're communicating, who needs to receive or send it, why they need to send or receive it, when they need to send or receive, how they should send the information, where they should communicate
