  • Verification
    • It reduces errors however it doesn't eliminate them
    • It checks that data has been transferred correctly from the original source
    • Verification also only reduces errors
    • Methods are double entry and proof reading
    • Double entry
      • User inputs data twice
      • Computer compares both data items
      • If both data items match then it saves data
      • If it doesn't match it rejects data, error message or try again
    • Proof reading
      • User enters data
      • User visually checks data on screen with original data
      • Errors are corrected
    • Transcription
      • When a mistake is made copying the data
    • Transposition
      • When you have reversed two numbers or letters
    • Purpose of verification
      • Designed to trap transcription / transposition errors
    • Problems
      • Manual verification: blurred eyes, tired eyes meaning checking data on the document maybe hard
      • Sometimes people can repeatedly see the wrong thing
      • Computer verification: may have made the same data entry error twice and therefore may not be picked up
    • Back up and archive
      • Back up
        • A copy of data
        • Backups can be made to tape, re-write optical memory, flash memory
        • Store the back up data away from the original data
        • Make regular backups as often as you can afford to lose the data
        • Keep more than one version of the backup
      • Archieve
        • Some data is only needed on rare occasions
        • Data is moved to offline storage, not copied
        • Increased available main storage for other data
        • Can be moved to: tape, CD-R, other storage
