    • Different organisations have different information needs
      • Schools and colleges can be in the public or private sector. This will effect how they are run and the information they need to produce.
      • Vary depending on their purpose, scale and size.
        • Some small organisations rely and are dependent on ICT whereas larger scale ones don't.
          • Larger organisations tend to generate more data but may not process it in a complex fashion.
            • Public sectors are funded by taxpayers and will have to provide very specific information to government bodies about the way they are run.
          • Organisations that rely on large databases or have e-commerce operations are clearly dependent on their ICT systems.
    • Different activities within an organisation have different information needs.
      • Within any organisations, some department may use ICT more than others.
        • Most organisations that pay employees use payroll software that helps them calculate salaries and wages, with deductions.
          • Finance departments also use accounting and finance modelling software to track income, expenditure and plan for the future.
            • BACS. The Bankers Automated Clearing Service is a method of processing financial transactions electronically.
          • Just In Time. Uses computer systems to ensure raw process and stock levels are kept to a minimum.
            • Relies heavily on ICT systems.
            • Information is exchanged with suppliers and customers through a computer-based system that sends data directly between comouter systems.
              • It uses agreed formats that avoid data having to be re-entered and eliminates errors and reduce delivery times.
                • EDI (Electronic Data Interchange). Sends data in agreed formats between computer applications in different organisations.
    • Different levels of task have different information needs.
      • Operational tasks are the everyday tasks that keep an organisation operating.
      • Tactical and Strategic levels of tasks are concerned with managing the activities of the organisation.
      • Degree of detail decreases from Strategic to Operational, where as authority increases.
    • Different personnel have different information needs.
      • Suppliers will need to know details of the materials the organisation needs to order and how they are going to be paid for.
        • Large organisations may have an extranet which enables suppliers to log into their network. Access will be limited.
        • There are both formal and informal communication methods between customer and supplier.
      • Customers can use FAQ websites, easy to find an answer and no time from staff.
        • Email allows the company to answer the customer personally, don't have to be dealt with instantly so work load is spread.
        • Internet chat is becoming a popular way of dealing with customers queries. Instant, written record.
      • Official and Legal Bodies have to be dealt with. DVLA, VAT, HM Revenue, TAX ect.
      • Exchange of information with external bodies.
        • When communicating with any external body, an organisation has to ensure that it complies with privacy, security and legal requirements.
        • The Data Protection Act for example, controls who personal data is passed on to.
        • E-commerce sites has to protect the fineancial details of its customers, data is encrypted and credit card details are never stored.
